OFFICE MANAGER /
EXECUTIVE ASSISTANT

Job Summary 

 
Searching for an experienced, reliable and task-oriented Executive Assistant/ Office Manager. The Executive Assistant/Office Manager will work directly with C-level executives and will be responsible for performing several administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. 

 

​Duties and Responsibilities 

  • ​ Answering phone inquiries, directing calls, and providing basic company information 

  •  Perform clerical duties, maintain files, and organize documents 

  • ​ Photocopying, faxing, overnight packages, collating, etc., as needed 

  •  File online annual reports for entities owned by the company 

  •  Provide documentation to appraisers (ShareFile, email) 

  •  Maintain construction files, permits, and schedule 

  •  Prepare check requests for various construction needs 

  •  Maintain schedule of projects for date tracking 

  •  Work with lenders, sellers, buyers, brokers to provide required  

  •    documentation for projects due diligence 

  •  Obtain Articles of Organization and EIN numbers for new projects 

  •  Submit reports to accounting to track employee expenditures 

  •  Keep server files organized and updated 

  •  Travel and Trade Show Planning as needed 

  •  Assist C-Level and staff as requested 

  •  Other duties as necessary

  •  Exceptional interpersonal skills 

  •  Comfortable in a fast-paced environment with multiple tasks and projects at hand 

  •  Able to organize and manage large amounts of files and information 

  •  Self-directed and able to work without supervision 

  •  Energetic and eager to tackle new projects and ideas

Requirements and Qualifications 

  • Three to five years’ prior experience in mid- to senior-level administration, business, management, or related field (Preferred)

  •  Excellent written and verbal communication skills 

  •  Able to concentrate on multiple problems/tasks at once 

  •  Excellent time management and prioritization skills
